RecClix Evolves by Listening to Customers

So how do you come up with the idea for a web-based platform that allows coaches and administrators to build teams and schedule a season and/or facilities, while allowing a free-flow of time-critical information between coaches, parents, and players?

That’s easy. Find yourself on both sides of the fence like RecClix founder, John Trkla.

“It started with a personal interest,” says Trkla. “I was coaching a baseball team in a league with ten teams. The main park that we played in only had four diamonds… so that meant one game was always played someplace else.”

Most people didn’t check their printed schedule and just assumed games were at the main park.  As a result, sometimes the games had to start with half of the players on site.  In still other cases, games or practices would be cancelled because of poor field conditions.  But because the weather was good that day, they wouldn’t think to call the park hot line and entire teams would show up for cancelled events.

In Trkla’s experience, the traditional method of communication of time-critical information with parents was either via a website update or by having the parents call into an answering machine. But even with very high participation, neither of those methods was ever 100 percent.

“We felt there was a need for push communication that allowed everyone to receive the information they needed without them being proactive,” says Trkla. “Also, coaches communicating with parents and players depended on the coaches’ technical skills and interest level.”

Trkla says that was always a hit or miss proposition. And that’s how RecClix was born; with the idea of having at least the minimum required level of communication going out to everyone involved, without having to depend on a coach’s technical savvy.

Although there were already some platforms on the market to address these issues, Trkla saw a lot of extraneous features.

“We really wanted to focus on making communications better,” says Trkla. “The few programs that did communications weren’t very flexible and didn’t allow for a lot of differentiation between what administrators, league officials, and coaches could do.”

In addition, Trkla says that many of the applications were focused on single teams.

“We set out to provide an enterprise-wide solution that could support multiple sports, leagues and teams from a single platform and would deliver communications across a range of devices in a manner that parents, kids, and coaches want them.”

Developing the project in conjunction with his local parks and recreation department, Trkla soon learned communications wasn’t just a local issue.

“They were first to use RecClix, but we soon found that club teams and schools had the same issues,” says Trkla. “Especially when you are sportgrouptalking about outdoor spring sports like baseball, softball, and lacrosse — they have a high number of cancellations or rescheduling due to weather.”

But soon they were looking at other sports. As the project developed, they learned that other sports like football, basketball, volleyball, and hockey all had their own communication challenges.

Trkla and his team settled on a web-based platform since most coaching professionals and volunteers don’t have the time, desire, or expertise to deal with standalone software and hardware issues.

“People don’t go into recreation management to sit behind a desk; They want to be out working with their programs,” says Trkla. “They want the solution to be quick and easy.”

As the platform rolled out, the RecClix team realized there are a number of different ways to run sports programs. The company needed to develop an application that was flexible enough to meet the very different needs of large public agency programs as well as smaller club programs.”

“This was particularly true when it came to security and data issues,” says Trkla. “We’ve developed methods of getting large amounts of data into the program from  proprietary registration systems that the different organizations use.”

Trkla and RecClix continue to evolve and meet the changing demands of their clients based on their individual needs, thanks to feedback from customers.

“One good example is our team builder function,” says Trkla. One park and rec department was telling us about the three day process it took for them to create house league teams; we addressed it. Our officials assignment and notification function came out of a comment from a customer who wished that they could schedule and notify their umpires like they could their teams and players. As we grow, we continually remind ourselves to keep making the product better while still keeping it simple to use.”
